Green Gorilla Trails – Booking Terms & Policies
Thank you for choosing Green Gorilla Trails. We are committed to providing memorable and responsible travel experiences across Rwanda, Uganda, and East Africa. Please read the following terms carefully before confirming your booking.

1. Booking Confirmation
Your booking is confirmed once Green Gorilla Trails receives the required deposit and sends you a written confirmation.
Please review your booking confirmation carefully and notify us immediately if any information is incorrect. All traveler names must exactly match the details shown in their passports.
For gorilla trekking tours, the deposit includes the cost of gorilla permits, which are secured through the relevant wildlife authorities and are non-refundable once purchased.
Current permit fees are:
- Rwanda: USD 1,500 per person
- Uganda: USD 800 per person
- Democratic Republic of Congo (DRC): USD 400 per person
2. Payment Terms
- A deposit of 60% of the total tour cost is required to secure your booking.
- The remaining balance must be paid at least 30 days before the start of your tour.
- For bookings made within 30 days of arrival, full payment is required at the time of booking.
Payments may be made by bank transfer using the details provided on your invoice. Any bank or transfer charges are the responsibility of the client.
Credit card payments are available upon request and are subject to a 4% processing fee.
3. Cancellation Policy
All cancellations must be submitted in writing by email.
The following cancellation charges apply:
- 30–59 days before departure: 25% of the total tour cost
- 15–29 days before departure: 50% of the total tour cost
- 1–14 days before departure: 100% of the total tour cost
Please note:
- Gorilla permits are non-refundable once purchased.
- No refunds will be made for unused services after the tour has commenced.
- Missed activities, accommodation, meals, transfers, or other included services are non-refundable.
4. Changes to Itineraries
While we carefully plan every itinerary, safari travel sometimes requires flexibility.
Green Gorilla Trails reserves the right to make reasonable changes to accommodations, routes, transportation, activities, or schedules due to weather conditions, road conditions, government regulations, safety concerns, wildlife movements, or other circumstances beyond our control.
Where possible, we will provide suitable alternatives of a similar standard.
5. Travel Documents and Entry Requirements
It is the traveler's responsibility to ensure they have all required travel documents before departure, including:
- A valid passport
- Entry visas
- Vaccination certificates or other health requirements
Your passport must be valid for at least six (6) months beyond your travel dates.
Green Gorilla Trails is not responsible for costs, delays, denied entry, or missed travel arrangements resulting from incomplete or incorrect travel documentation.
6. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travelers.
Your insurance should include coverage for:
- Medical expenses
- Emergency evacuation
- Trip cancellation or interruption
- Personal accident
- Loss or theft of personal belongings
Travel insurance is not included in the tour price and should be arranged before travel.
7. Health and Fitness
Some activities, including gorilla trekking, hiking, and walking safaris, can be physically demanding.
It is your responsibility to ensure that you are medically fit to participate in your chosen activities. Any medical condition, allergy, disability, or special requirement that may affect your trip should be disclosed at the time of booking.
8. Special Requests
We are happy to assist with special requests, including dietary requirements, room preferences, celebrations, or accessibility needs.
Although we will do our best to accommodate these requests, they cannot be guaranteed and may depend on the availability of our suppliers and partners.
9. Complaints and Customer Care
If you experience any concerns during your trip, please inform your guide or contact our office immediately so that we can address the issue as quickly as possible.
We are committed to providing excellent service and appreciate the opportunity to resolve any concerns while you are traveling.
10. Photography and Marketing
During your tour, photographs or videos may be taken by Green Gorilla Trails for promotional purposes.
By participating in the tour, you grant permission for such images to be used on our website, social media platforms, brochures, and other marketing materials.
If you do not wish your image to be used, please notify us in writing before the start of your tour.
11. Privacy Policy
Green Gorilla Trails respects your privacy and is committed to protecting your personal information.
Any information provided during the booking process will be used solely for booking management, operational purposes, customer communication, and legal requirements.
Your personal information will never be sold to third parties.
12. Liability & Governing Law
Green Gorilla Trails acts as a tour operator and works with carefully selected accommodation providers, transportation companies, airlines, and other service partners.
While we take every reasonable step to ensure a safe and enjoyable experience, we cannot accept responsibility for delays, injuries, losses, accidents, natural disasters, political events, weather conditions, or other circumstances beyond our control.
These Booking Terms & Policies are governed by the laws of the Republic of Rwanda.
Any dispute arising from a booking with Green Gorilla Trails shall be subject to the jurisdiction of the courts of Rwanda.
Green Gorilla Trails reserves the right to update these Booking Terms & Policies at any time. The latest version will always be available upon request or on our official website.
